Council requests proposals from suppliers addressing the provision of a managed service for in-office document printing, copying, scanning and faxing facilities for Council’s general administration offices primarily located in the Ipswich city CBD hub area and for Council’s major depots and service centres.

The outcomes Council is seeking to achieve from this Request for Provision process are:
a. Progressively lower the total operational cost of in-office document printing, copying, scanning and faxing services within the organisation, following the setting of an initial contract period base line for a contained number of key organisational office sites e.g. central administrative hubs;
b. A solution that meets Councils business requirements whilst maintaining a high level of service availability in each business area of the organisation;
c. Introduction of new technology and management tools to reduce the cost of services including paper consumption and consumables;
d. Provision of end-user education and training services throughout the contract period;
e. Consultancy services that work directly with business areas as to identify and (if required under the direction of Information Systems Branch) implement technical and business process changes resulting in a lower cost of ownership for all printing, copying, scanning and faxing needs, for term of contract;
f. Satisfy Council security requirements for general usage, and interconnection of equipment with Council’ s network;
g. Maintain a minimum rolling customer satisfaction assessment of 90%.
